Presenter Guidelines

Each presentation submitted for the Transforming Institutions Conference has its own web page. Abstract web pages are pre-populated with information from the abstract submission form. Author names, institutions, pictures, and linked biographies can be updated by logging into your SERC account. If you don't have an existing account please create one using the e-mail address you provided on the abstract submission form; if you have an existing account under a different email address, please contact Mitchell Awalt (mawalt@carleton.edu). Once on your account page, you'll see links along the left side of the page to "Edit your Bio," "Change your Photo," and "Edit Personal Info." Any changes you make to these sections will propagate to your abstract page.

25-Minute Oral Presentations

Oral sessions will be held on Thursday, April 4. Each session (e.g., A, B, C, etc.) is an hour and half in length and consists of three presentations. Each presenter is allotted 20 minutes for their presentation followed by 5 minutes for questions, though you may choose to use this 25 minute block of time differently. A session chair has been assigned to each session and is listed at the top of the session page. The session chair is responsible for keeping time (using time cards to signal 5, 2, and 1 minutes remaining) and facilitating questions from the audience at the end of the presentation. Please allow 5 minutes between each presentation for transition.

Format

  • Presentation length: ~20 minutes in length with 5 additional minutes available for questions. If you have planned to use your time differently than, for example, 20 minutes of presentation + 5 minutes of questions, please let your session chair know what to expect. An example of this schedule is included below.
  • On-site logistics: Each session room has wi-fi access and a projector. Please plan on bringing your own laptop to use for presentations (including an projector adapter if you're using a Mac). Also, plan to bring any supplies you might need (e.g., a clicker).
  • Presentation Evaluations: All sessions will be provided with short paper evaluations, which the session chairs will collect. The conference conveners will distribute the results to presenters after the conference.
  • Upload Presentation: You can upload your presentation file (PDF) using this form. It will be posted on your presentation/abstract page.
Sample session, 8:00 a.m. – 9:30 a.m.:
  • 8:00 a.m. – 8:25 a.m.: Presentation 1
  • 8:25 a.m. – 8:30 a.m.: Transition
  • 8:30 a.m. – 8:55 a.m.: Presentation 2
  • 8:55 a.m. – 9:00 a.m.: Transition
  • 9:00 a.m. – 9:25 a.m.: Presentation 3
  • 9:25 a.m. – 9:30 a.m.: Transition

Poster Presentations

Each poster will be displayed from 2:45 p.m. to 5:00 p.m. on Thursday, 4/4, in the Admiral Room. You may post your poster as early as 2:00 p.m. Presenters are required to remain at your poster during the poster session, from 2:45 p.m. to 3:30 p.m. You must take down your poster by 5:30 p.m.

Please print and bring your poster with you to the conference - our staff are not able to print your poster. If you would like to share your findings with the broader audience outside of the conference, you can also upload your poster and post it as a file on your abstract page (see upload link below); this option will only be available to presentations that meet the copyright requirements for online publishing.

Format

  • Size: Maximum poster dimensions are 36" height x 48" width
  • Supplies: Push pins will be available, but please bring your own as well.
  • Setup/Takedown: Poster up by 2:00 p.m., down after 4:30 p.m. (posters must be taken down by 5:30 p.m.)
  • Poster number: Each poster is assigned a number. These numbers are listed on your abstract page (at the top) and will be assigned to the boards during the poster session. Please post your poster on the assigned board.
  • Presentation time: Thursday 2:45pm - 3:30pm
  • Upload Presentation: You can upload your presentation file (PDF) using this form. It will be posted on your presentation/abstract page.
